Administration Manager

Administration Manager, Saffron Walden

This exciting opportunity will involve working directly with the company’s senior Managers and Directors and supporting them with facilities, health & safety, HR and other activities. 

The Role

  • Reporting to the Finance Manager
  • Providing support for Facilities activities, including:

    • Day to day support in dealing with queries and issues related to facilities and premises. To include management and organisation of cleaning & refuse services, building maintenance and equipment inspections.
    • Dealing with insurance claims and assisting with annual renewal.
    • Utilities management to include meter readings, dealing with queries and assisting with contract renewals
    • Dealing with land line and mobile telephone replacements, issues and assisting with contract renewals
    • Administration of computer & printer hardware to include ongoing replacement program and organising new PC set up.
    • Supporting the Director of Operations with IT issues and software upgrades as required.
    • Administration of company car fleet and assisting with car renewals.
    • Proactively looking at ways to reduce facilities overheads including reviewing maintenance contracts, utilities contracts and efficient running of current activities

  • Providing support for Health & Safety activities, including:

    • Completion and documentation of 3rd party checks and inspections
    • Administration related to company car drivers
    • Completion and review of internal documents including Risk Assessments, Policy, Checklists, Method Statements, Training Records etc.
    • Completion of customer ‘supplier questionnaires’
    • Working with H&S consultants to ensure H&S legislation is complied with
    • Completing fire drills and fire alarm tests
    • Managing contractors and their paperwork
    • COSHH Risk Assessments and Management
    • Employee DSE questionnaires
    • Other aspects of H&S administration as required
  • Providing support for Human Resources activities, including:

    • Management of the electronic absence management system
    • Monthly reporting and analysis of absences
    • Weekly analysis of staff working hours and maintenance of the clocking in system
    • Monthly reconciliation of overtime hours worked
    • Staff induction and system set up
    • Administration of staff benefit administration including pensions, childcare vouchers & healthcare
    • Assisting with the organisation of staff and third-party events
  • Based in Saffron Walden, Essex. UK

​​The Person

  • Good standard of education, numeracy & literacy, ideally educated to degree level
  • Excellent levels of experience using standard Microsoft Office applications - Word, Excel, Outlook
  • Experience in dealing with suppliers in issue resolution, contract discussions and negotiation
  • Ideally Human Resources, Health & Safety and / or Facilities administration experience
  • Minimum of 5 years work experience in a similar role
